MDA car show planning and worker sign up

ok so here is what we need for the car show. anyone who can volunteer on friday march 1 from 5pm-10pm, saturday march 2 9am-10pm, and sunday march 3 10AM-5pm. if possible help with setup on friday mornig would be appreciated. i already have a couple people who have signed up to work friday evening and saturday evening.

for those of you who we select to bring there car to the show we would need it there as close to 8AM on friday morning. i am more than happy to help transport cars.

i also need to get into the BRR trailer sometime to get soem banners and anything else we decide to use in it. i assume Tim windle can help me with that.

if anyone has anything they thing we can use as props let me know. i am getting some cones as well as a club racing national championship trophy or one from a brr event from my dad he won back in the 80's.

mainly what we need is workers so if you think you can work post here and let us know. if u can not commit feel free to show up whenever and come support BRR

I can do the 9:00 - 10:00 slot Sat morning. I can also do an hour or two Sunday morning, starting at the 10:00AM slot. Keep us posted on the other openings.

I think we settled on Jeff's Scubaru and David's Corvair. I used these cars on the application but we can change if needed. What do you guys think???? Cheers!

At least right now, since Sunday seems to be where we're lacking, I can do 1PM - 5PM on Sunday. Depending on where things shake out, I can likely help at other times as well.

Car selection sounds great to me.

What would be a good date and time for everyone to get together for a planning meeting? Would a Sunday afternoon or evening work? 10th or 17th of February? Weekday evenings are limited due to the UPS drivers and College students that may want to attend.
The 17th would give us time to order and recieve anything extra that may be added. Reply back as soon as you can so we can find a place to host us.

either date is fine with me, but sooner would probably be better.

Rob, got the SCCA promotional materials packet in and sent you an email about it.

We will still probably need more BRR specific materials like our banner from the trailer. I used the business cards in the packet and some mailing labels and added our region name and url.

6:30... Steffen gets off from work at 6:30 but by the time we get going he will be there.

i cant believe i didnt see this sooner.. i'll have the whole weekend and even friday open at that point. anywhere you need someone, just let me know and i'll fill in.

Sorry haven't been to the website in a while... Sorry I missed the planning meeting.. I got an invitation to enter my car in the mail so I'm assuming that you guys still would like for me to enter the car ?? correct ??

My letter states that the registration fee is $25.00 ... Is or has this already been paid by the club or will I need to pay this fee when I take the car over there Friday Morning the 1st of March.

Sorry I haven't been in the Loop on this stuff..

The cost of the car entry fee will be handled by BRR. I will work with Henry to make sure we have payment at registration.

I also noticed that the registration info says I need to have the car roped off... I don't have anything built do this with like 4 stands and plastic chain or rope of some type. I didn't know if you talked about this at your meeting.. Maybe make some sort of rope / chain thing that will go around both cars . Are we still doing 2 cars ?

David,
We are still planning on 2 cars. We can get the plastic chain or nylon rope at Northwest hardware and need to look into some type of pole or stand to support it. Do you have any suggestions? Maybe use some PVC parts to make some?
I know we have some surplus gray schedule 40 PVC in our warehouse and will check tomorrow to make sure there is enough to put something together.

5 gallon buckets with sand work really well. They can support a long rope (or plastic chain) well. Works even better if you use the lid with a hole in it to keep the post from rotating.

We need to use cones. Car show barriers range from 10" to 3 feet tall from what Ive seen so if we set our SCCA cones up 2 feet apart they will do the job. If they require rope we can still use the cones and I have a way to add nylon rope using the holes at the top. 32 cones should be enough.

Brilliant! If they require rope put a thin pvc tube through the cones at each corner with some rope and you're done.

TIM WINDLE- i need to find time to meet up with you to get some stuff from the trailer. cones, banner, etc. whats a good time i can come down and take a look inside the trailer?

Rob- did we ever decide if i should get some shirts out to try to sell? not sure if you ever figured out the restrictions on that?

ok here is an update on times when people are working. if anybody has a problem with this let me know. im just going off of what info i got from people at the banquet and from this planning thread
these are the time the show is open:
Friday- 5pm-10pm
Saturday- 9am-10pm
Sunday- 10am-5pm

both Rob Leslie and I will be in and out throughout the weekend as well as being there friday mornign setting up and sunday evening doing cleanup.

so far I plan to be there every morning and to check back in throughout the day. if we have times where we have noone working or only one person working i will stay. (we wouldnt want any of our members getting lonely)

so far i have these workers at these times
Friday 5pm-10pm- Ryan Hansbarger
Friday 5pm-10pm- Henry L

Saturday 3pm-10pm- Erik Strock
Saturday 9am-1pm- Steve Strickland

Sunday 1pm-5pm- James koiner
Sunday 10AM-1pm- Steve Strickland

Do we need to pay our own way in or will they give us some passes? Seems like I read it was around $10/ day for admission.

I don't think we need to sell shirts, I don't want to keep up with the money........ You need to get a few hats and shirts if we have some to spare so we can use them as door prizes. Do we have any of the Commonwealth games shirts left over? They would be good to use if so.....

I will call Patty in the morning about the passes. I was supossed to get a call back from her about passes and a couple of other questions she couldn't answer when I called her last week. I'm sure she is super busy but I'm not opposed to bugging her to get the answers we need.

ok thanks steve. ill put you down till 1 both days just so i can get an idea where the most needed areas are. itll be good to have you there since you have been around this for awhile.

ive also got a few other people who said they will be willing to help but can not commit to a time so any time we are short handed and im there i may try and drag them along

Peeps,
We will get 2 weekend passes with each car (4) that we can swap off as needed. They offer weekend passes 2 ways, 20.00 per person individually and a book of 10 for 150.00. I tried to get a couple extras thrown in with the booth space and it was a no go.
I would suggest buying an additional 4 passes which will give us 8 total to use between the attendants of the booth.

what about BRR stickers we can give out, or some SCCA stickers? Do we have any in excess? and are there enough people there to man the worker station, or do you need me to be there for some relief work Ill have that weekend entirely off so just let me know when and where you need me. It might also do us some good to print out copies of this year's schedule for anyone that might be interested, as well as adding on website info as handouts.
